When to Start Your Rwanda Self Drive Booking

Timing matters more than most people think. Rwanda’s dry seasons, roughly June to September and December to February, are the busiest months for safari vehicles. In those months, the best Land Cruisers and rooftop-tent cars go first.

So aim to reserve your vehicle as soon as your flights are fixed. For peak months, that often means two to three months ahead. In the rainy seasons you have more flexibility, although booking early still gives you the widest choice.

Book the gorilla permit before the car

If gorilla trekking is on your list, secure the permit first. Permits are issued by the Rwanda Development Board (RDB), currently US$1,500 per person, and dates sell out in high season. Once your trek date is fixed, build the car booking around it. Our Volcanoes National Park guide explains the area and what to expect.

Step-by-Step: How the Booking Works

The process is short, but each step saves you trouble later. Here is the sequence we follow with every self-drive client.

  1. Send your enquiry. Share your dates, pickup and drop-off points, number of travellers and a rough route.
  2. Get a written quote. We reply with vehicle options, the daily rate and what is included.
  3. Confirm and pay the deposit. This secures the car for your dates.
  4. Send your documents. A copy of your licence and passport lets us prepare the contract in advance.
  5. Receive your confirmation. It lists the vehicle, extras, pickup time and our emergency number.
  6. Collect the car. We do a walk-around, check the paperwork and brief you on the route.

Most of this happens over WhatsApp or email, so you can finish it from home. As a result, pickup day takes minutes rather than an hour.

What to Include in Your Enquiry

A detailed first message gets you an accurate quote faster. Vague requests, on the other hand, lead to several rounds of questions. Try to include the following:

  • Exact pickup and return dates and times.
  • Where you want the car: Kigali airport, your hotel, or another town.
  • How many adults and children, plus any child seats needed.
  • Your main stops, for example Akagera, Volcanoes, Lake Kivu or Nyungwe.
  • Whether you plan to cross into Uganda, Tanzania, Kenya or DRC.
  • Extras such as camping gear, a cool box or a rooftop tent.

Mention border plans early

Cross-border trips need extra paperwork and insurance for the vehicle. That takes time to arrange, so flag it in your first message. Our cross-border car hire page lists what changes when you leave Rwanda.

Choosing the Right Safari Vehicle

The vehicle you book should match both your route and your sleeping plans. A couple staying in lodges needs something very different from a family camping in the parks.

Trip styleSuggested vehicle
Lodge-based safari for 2–4 peopleLand Cruiser Prado
Long safari with lots of luggageLand Cruiser Safari / TXL
Camping on a budget4×4 with rooftop tent and camping kit
Mostly paved roads, short park visitsToyota RAV4

For Akagera’s game tracks and the rougher roads near Volcanoes, a proper 4×4 is the safer choice. Higher clearance and low-range gearing help a lot after heavy rain.

Documents and Payment

Paperwork is simple, but you must bring originals on pickup day. Copies are only for preparing the contract in advance.

What you need

  • A valid driving licence held for a reasonable period. An International Driving Permit is recommended, especially if your licence is not in English or French.
  • Your passport.
  • The deposit and balance, paid by the method agreed in your quote.

Questions to ask before you pay

Every company words its terms differently. Therefore, ask clearly about mileage limits, the insurance excess, fuel policy and what happens if you return late. Also ask about the cancellation policy, in case flights or permits change. Get the answers in writing.

Planning a Route That Fits Your Days

Many first-time visitors try to fit too much into too few days. Rwanda is small, but hilly roads are slow and speed limits are low. Use these realistic drive times from Kigali when you plan:

  • Musanze and Volcanoes National Park: about 2–2.5 hours.
  • Akagera main gate: about 2.5 hours.
  • Rubavu on Lake Kivu: about 3–3.5 hours.
  • Nyungwe Forest: about 5–6 hours.

A comfortable loop for a week might be Kigali, Akagera, back through Kigali, Volcanoes, then down the Lake Kivu shore. For ready-made ideas, browse our road trips in Rwanda or a sample 5-day gorilla safari.

Leave a buffer day

Build one spare day into longer trips. Rain, a slow border or a great sighting can all delay you. A buffer keeps your trek date and return flight safe.

Pickup Day Checklist

Pickup is your last chance to spot problems before you are on the road. Take ten minutes and go through the vehicle with our team.

  • Photograph every side of the car, plus any scratches.
  • Check the spare tyre, jack and wheel spanner.
  • Confirm the fuel level and note it on the form.
  • Test the lights, wipers, air conditioning and four-wheel-drive selector.
  • Save our emergency number in your phone.

Finally, remember that Rwanda drives on the right. If you continue into Uganda, Kenya or Tanzania, traffic switches to the left.

FAQ: Rwanda Self Drive Booking

Can I change my dates after booking?

Usually yes, if the vehicle is free on the new dates. Tell us as soon as your plans change, because peak-season cars are often booked back to back.

Can I collect the car at the airport late at night?

Yes. Give us your flight number and we will meet you on arrival. Our Kigali airport service handles late landings regularly.

Can I add a second driver?

Yes. Name every driver at booking and bring each person’s licence to pickup, so they are covered by the contract.

Do I need to book park entry in advance?

Gorilla permits must be booked ahead. Akagera and Nyungwe entry can usually be paid on arrival, but fees are set by the park authorities and change, so check current rates.
