Car Hire Rwanda vehicle inspection checklist explained

Fifteen minutes spent checking your hire car can save you a ruined day on a mountain road and an argument over damage at the end of the trip. This rental car inspection checklist walks you through what to look at, in order, before you drive away in Rwanda. It also explains why each check matters on local roads.

Before You Start: Set Up the Inspection

Do the check in daylight, not in a dark car park. Ask the handover person to walk round with you, and keep your phone ready for photos and video.

Start a video at the driver’s door and walk slowly round the car, filming each panel. Then take close-up photos of any marks. Make sure the time stamp is on, because it proves when the pictures were taken. Finally, ask for every existing mark to be written on the condition report before you sign.

Exterior: Your Rental Car Inspection Checklist Starts Outside

Body and glass

  • Scratches, dents and scuffs on every panel, bumpers and mirrors.
  • Chips or cracks in the windscreen; small chips can spread on gravel roads.
  • Working wipers with blades that clear the glass cleanly.
  • All lights: headlights, indicators, brake lights and reverse lights.

Tyres and wheels

Tyres matter more than anything else on Rwanda’s mix of tarmac, murram and mud. Check tread depth on all four tyres and look for cuts or bulges in the sidewalls. Uneven wear can point to alignment problems.

  • Full-size spare in good condition, properly inflated.
  • Jack, wheel spanner and locking-nut key if fitted.
  • Warning triangle and a basic first-aid kit.

Practise loosening one wheel nut with the spanner. If you can’t move it in the car park, you won’t move it on a muddy roadside either.

Under the Bonnet

You don’t need to be a mechanic. Still, a quick look under the bonnet tells you a lot about how well the car is maintained.

  • Engine oil: level between the marks on the dipstick, not black and sludgy.
  • Coolant: topped up; overheating is a risk on long climbs to Musanze or Nyungwe.
  • Brake fluid: at the correct level.
  • Windscreen washer fluid: full, because dust builds up fast on dry-season roads.
  • Leaks: no fresh drips under the car.
  • Belts and hoses: no cracks or fraying.

Inside the Cabin

Next, sit in the driver’s seat and work through the controls.

  • Start the engine and check that no warning lights stay on.
  • Note the fuel level and mileage on the condition report.
  • Test the air conditioning and fan, the horn and the hazard lights.
  • Check every seatbelt clicks in and retracts.
  • Try all door locks, windows and the boot release.
  • Look for stains, tears or burns on the seats.

If you booked extras, such as child seats or a phone holder, confirm they are fitted and working.

4×4 and Safari-Specific Checks

For a Land Cruiser or Hilux heading to the parks, a few extra checks are worth the time.

Four-wheel drive

Ask the handover person to show you how to engage 4WD and, if fitted, low range and the diff lock. Then try it yourself, briefly, before leaving. Many travellers only discover they don’t know how it works when they’re already stuck in Akagera mud.

Rooftop tent and camping kit

Open the tent fully, check the zips and the ladder, then close it again. Count the camping gear against the list: stove, gas, chairs, cool box and bedding. Missing items are hard to replace once you’re out of Kigali. See our camping gear rentals for what a full kit includes.

Recovery gear

For remote routes, ask whether a tow strap or shovel is on board. If not, ask whether one can be added.

Documents to Find in the Glovebox

  • Vehicle registration papers.
  • Proof of insurance valid for your rental dates.
  • Your signed rental agreement and condition report.
  • The emergency and breakdown phone numbers.
  • Cross-border documents, if you plan to enter Uganda, Tanzania or Kenya.

Police checks are common in Rwanda, so keep these papers together with your driving licence and passport.

Daily Checks During Your Trip

The inspection doesn’t end at pickup. Each morning, especially before long drives to Volcanoes National Park or Nyungwe, do a two-minute walk-round.

  • Look at the tyres for punctures or soft spots.
  • Check for new leaks under the car.
  • Glance at the temperature gauge once the engine warms up.
  • Clean the lights and windscreen after dusty or muddy days.

The night before gorilla trekking

Trekking days start very early, and permits cost US$1,500, so you can’t afford a flat tyre at dawn. Check the car the evening before, fill the tank and park facing the exit. Also confirm the route to the park headquarters at Kinigi, since the briefing starts on time whether you’re there or not.

If something feels wrong, call us before you continue. A small issue sorted early rarely turns into a breakdown.

Returning the Car

At the end of the trip, repeat the walk-round with a team member. Refuel if your agreement is full-to-full, and remove your belongings and rubbish. Compare the car’s condition against the original report, then get a signed return note. That closes the rental cleanly. Keep your pickup photos and the return note until any deposit is back in your account, just in case a question comes up later.

Rental Car Inspection Checklist: Quick Answers

What if I find damage that isn’t on the report?

Point it out before you drive away and ask for it to be added. Take a photo with the handover person in view if possible.

How long should the inspection take?

Around 15 minutes for a standard car, and up to 25 minutes for a 4×4 with camping gear.

Do I need to check the car if I’ve hired a driver?

The driver handles mechanical checks. Even so, it’s worth noting the interior condition and confirming extras are on board.

Should I check the spare tyre’s pressure?

Yes. A flat spare is a common surprise. Ask the team to check it with a gauge at pickup.
