Rwanda Car Rental Explanation – What To Confirm Before Travel

A car rental booking in Rwanda is only as good as the details you check before you fly. This guide lists every point to confirm before travel Rwanda-bound. Car hire here is simple. Still, a ten-minute review can save you a lost day at the airport or a surprise charge at drop-off.

Use it as a checklist. Work through each section, send your questions by WhatsApp, and keep the written answers on your phone.

Booking Details to Confirm Before Travel Rwanda Bound

Start with the basics, because small errors here cause the biggest problems later. Check that your confirmation shows the right dates, times and names. Also make sure the vehicle model is named, not just “4×4 or similar”.

The exact vehicle and its setup

A Toyota Land Cruiser TXL, a Prado and a RAV4 drive very differently on park tracks. So ask the company to confirm the model, the year range and whether it is manual or automatic. If you booked a safari vehicle, confirm it has a pop-up roof for game viewing.

  • Model and transmission (manual or automatic).
  • Number of seats and luggage space for your group.
  • Pop-up roof, fridge or charging sockets if you asked for them.
  • Rooftop tent and camping kit, if your trip includes camping.

For park trips, most travellers choose a Land Cruiser safari vehicle for its clearance and space. However, a RAV4 is fine if you stick to tarmac between towns.

Pickup and drop-off times

Rental days are usually counted in 24-hour blocks. Therefore, a late return can add a full extra day. Confirm the exact pickup time, the return time and what happens if your flight is delayed.

Driving Papers to Confirm Before Travel Rwanda Trips

If you plan to drive yourself, paperwork comes first. Rwanda accepts many foreign licences for short visits, but rules can change. So confirm in writing what the company needs from you.

  • A valid driving licence held for the minimum period the company requires.
  • An International Driving Permit if your licence is not in English or French.
  • Your passport, plus a copy for the rental agreement.
  • The names of every additional driver, each with their own licence.

Remember that Rwanda drives on the right. That surprises visitors from the UK, Kenya or Uganda, who drive on the left at home. Our self-drive Rwanda service includes a short vehicle briefing at handover, so ask for one if you feel unsure.

Insurance, Deposit and Damage Rules

Insurance is where most disputes start. Ask what cover is included and, just as important, what is excluded. Many policies exclude tyres, windscreens, the underside of the car and off-road damage.

Questions to ask about cover

  • Is third-party insurance included in the daily rate?
  • Is there collision cover, and what is the excess you would pay?
  • Are tyres and glass covered, or charged separately?
  • Does the cover still apply in another country?

Next, confirm the deposit amount, how it is taken and when it is returned. Then take photos and a short video of the car at pickup. Include the tyres, the spare and the jack, because these are easy to miss.

Airport Pickup and Handover Arrangements

Most visitors land at Kigali International Airport after a long flight. Therefore, you want the handover to be quick and clear. Confirm whether the car will be delivered to arrivals, or whether a driver will meet you and take you to the office.

Share your flight number so the team can track delays. Also ask for the name and phone number of the person meeting you. If you would rather not drive straight after landing, book a separate Kigali airport transfer and collect the car the next morning.

What to check at the handover

  1. Fuel level, and whether you return it full or at the same level.
  2. Spare tyre pressure, jack and wheel spanner.
  3. Lights, wipers and air conditioning.
  4. Vehicle papers and insurance sticker inside the car.
  5. The 24-hour breakdown number saved on your phone.

Route Plans, Permits and Park Access

Your itinerary shapes the car you need. So tell the rental team where you are going before you pay. A road trip to Lake Kivu needs less than a camping loop through Akagera.

Plan realistic drive times. Kigali to Musanze takes about 2 to 2.5 hours. Akagera’s gate is about 2.5 hours away, Rubavu about 3 to 3.5 hours, and Nyungwe 5 to 6 hours. Avoid driving after dark on rural roads.

For gorilla trekking in Volcanoes National Park, buy your permit before you lock in the car dates. RDB sets permit prices, and the Rwanda gorilla permit currently costs US$1,500. Park entry and activity fees change, so check current rates when you book.

Cross-Border Plans and One-Way Returns

Many travellers combine Rwanda with Uganda, Tanzania or Kenya. However, you cannot simply drive across a border in a rental car. The company must prepare the right documents first.

  • A letter of authority allowing the vehicle to leave Rwanda.
  • COMESA insurance or equivalent cover for the other country.
  • Copies of the vehicle registration papers.
  • Any temporary import permit needed at the border.

Confirm all of this at least a few days before travel. Also remember that Uganda, Kenya and Tanzania drive on the left. If you want to finish in another city, ask whether a one-way return is possible and what it costs. Our cross-border car hire page explains the process in more detail.

Self-Drive or a Driver: Decide Early

Some travellers book self-drive and then realise they would rather relax. So decide before you travel, because drivers are scheduled in advance. A local driver also knows the park tracks, the fuel stops and the best viewing spots.

If you choose a driver, confirm who pays for their meals and lodging on overnight trips. Also confirm their working hours each day. You can read more on our car hire with driver page.

Frequently Asked Questions

How far ahead should I confirm my rental?

Confirm the booking as soon as your flights are set. Then reconfirm the vehicle, pickup point and contact person about a week before you arrive.

What should I get in writing?

Get the vehicle model, the total price, what the price includes, the insurance excess, the deposit, and the fuel and mileage policy. A WhatsApp message or email is enough.

Can I change my dates after booking?

Usually yes, if the vehicle is free. Ask about the change policy before paying, especially in the busy June to September season.

What if the car breaks down in a park?

Call the 24-hour support number you saved at handover. Share your location and stay with the vehicle unless a ranger tells you otherwise.
